About our Terms and Conditions

Please ensure that you read these Terms and Conditions carefully, they will ensure that you have a safe and fun holiday. Upon booking with us you are accepting these Terms and Conditions and agree to follow the guidelines set out within. Our caravans are located within Haven parks and therefore also have to adhere to Haven Terms and Conditions.
We reserve the right to update these Terms and Conditions before your arrival however we will endeavour to notify you with as much notice as possible. The Terms and Conditions are available on our website located at https://www.cobaltholidays.co.uk/terms.

Wording within our Terms and Conditions

To ensure that everything is clear these are some of the things we may say in our terms and conditions.
‘you’ and ‘your’ – the lead guest that has made the booking
‘we’, ‘us’, ‘our’ or ‘Cobalt Holidays’ – Cobalt Holidays the company that you are making the booking with.
‘agreement’ – the contract between us and you based upon (i) these terms and conditions, (ii) your booking confirmation, (iii) any conditions referred to on our website, (iv) and additional terms and conditions we may refer to; and (v) any other agreements that we may require
‘party’ – the persons that are named on the booking or any additional guests.
‘park’ – the holiday park that you have chosen
‘lead guest’ – the person who has booked the holiday, who must attend the holiday and who will server as the primary person who assumes responsibility.

Your Holiday

Your booking

When making a booking we will send you an email confirming the details of the holiday booked. Should any information be incorrect then please contact us as soon as possible. Your email will also confirm your arrival time, please ensure that you do not arrive before that time since your van may not be ready.
Upon confirming your booking, we will require a deposit of £50 made payable within 7 days. After this we may make your holiday available again. The deposits are non-refundable and full payment is required 8 weeks prior to arrival.
Once full payment has been made we would not be able to refund your holiday unless we are able to re-let your selected dates. In these circumstances we advise that you take suitable insurance to cover this.
Pets are NOT permitted within the caravan. If found to have had pets in the caravan then a fine of £100 will be payable by the lead guest.
We reserve the right to cancel your holiday should any situation outside of our control arise. Should this happen we will offer a full refund or a change of date.

Guest restrictions

Our caravan is based at a family orientated park. As such we aim to provide the best experience for all families and couples. In order to maintain the friendly, family atmosphere for all guests visiting the park we reserve the right to refuse or cancel booking from:

  1. Groups of guests under 21;
  2. Hen, stag or and other parties that disrupt other guests;
  3. Solo travellers (if we feel the reason for your stay is not in line with our family focussed values);
  4. Anyone who we think may be disruptive to other guests.

We don’t knowingly allow any guests to use or visit our caravan who: (i) has an unspent criminal conviction; (ii) has an entry on a criminal register (including the sex offenders’ register); (iii) has and record or any order indication antisocial behaviour, violence, abuse, public disorder, or criminal damage or any other for of antisocial behaviour; (iv) is a convicted sex offender, subject to the notification requirements of the Sexual Offences Act 2003; or (v) is subject to a Risk of Sexual Harm Order or Child Abduction Notice. If you don’t disclose this information about yourself or any other member of your party, and it later becomes known to us or Haven, we reserve the right to cancel your booking and require that you, and the other members of your party, leave the park, without refund.

Planning for your holiday

Who’s visiting

Please ensure that you check your booking since only the people listed on the booking can visit and use the facilities. Should any details change please let us know prior to arriving on park. If anyone is found visiting who is not listed on the booking then we may ask you and your party, as well as the unauthorised guests, to leave park immediately without refund.
The total number of visitors must not exceed the maximum capacity of the caravan or any other restrictions that may be in place.
You and any members of your party who are 18 or over may be required to provide valid photographic identification at any time during your stay.

Important information and updates.

Wherever possible we will make any important information available to you on our Facebook Page (https://facebook.com/cobaltholidays). Haven may also publish additional information regarding the park and this can be found on Havens website or by using the Haven What’s On app. Please ensure that you check your emails prior to your holiday. To avoid disappointment, we recommend you pre-book any activities that you may wish to do as places are limited.

Bringing children

The park features a wide range of activities and events for children. If you would like to undertake any of these activities then booking is essential to avoid disappointment. We endeavour to do everything we can to ensure that your little ones remain safe, however they remain your responsibility at all times whilst on the park.

Guests with disabilities

Unfortunately, we do not have wheelchair facilities at our caravan. If you do have a disability then please contact us and we will endeavour to ensure we meet your needs.

Food Allergies

The park features a wide range of outlets who have been trained in food allergen awareness. If you have a food allergy or special dietary requirements then please speak to one of the park team and they will assist you.

Dogs and other pets

Unfortunately, we currently DO NOT accept any pets in our caravan. Please do not bring your pets to our caravan since we reserve the right to cancel your holiday should we find you to be contravening these restrictions. We also reserve the right to issue a fine of no more than £100 to cover the costs of deep cleaning the caravan.

Bringing a vehicle to park

Our caravan features a single parking space, additional parking is available a short walk away. Please remember that if you are visiting in multiple vehicles we require the registration plates of ALL vehicles you will bring. Please be aware that our caravan DOES NOT feature and charging facilities for electric vehicles. The park has EV charging points located near the main facilities.

Paying for your holiday

What you’ll pay

Upon confirming your booking, you will be required to pay a £50 deposit to secure your booking. Full payment must then be received at least 8 weeks prior to your holiday. If you decide not to take your holidays then the deposit is non-refundable. Please be aware that our prices are subject to change without notice unless you have secured your booking and paid the deposit.

How to pay

We currently accept payments via bank transfer or cash. If paying via Bank Transfer please ensure that you add the reference that we provide to the payment. Failure to do so may result in your payment not being located.

Incorrect payments

Should there be any issues with either underpayment or over payment then we will contact you. Should there be an underpayment issue then we will contact you to correct the issue. We will either offer you the opportunity to pay the difference or alternatively cancel your holiday and offer a full refund.

Fines

Should we find that you have contravened any guidelines whilst visiting out caravan then we may issue you with a fine. These fines are payable within 28 days of being issued. Failure to pay will result in the fine being passed to collection agents and additional charges to cover the cost of collection being added on top of the fine payable.

Changes and Cancellations

Changes to your booking

We understand that situations may change, so if you need to change you booking then please ensure that you contact us as soon as possible. If you need to change your dates then we will allow you to move your holiday no later than 4 weeks prior to your arrival date. Should it be less than this then we would be unable to move your dates. Should you be unable to attend then we would not be able to offer a refund.
In the situation that the party visiting the park changes then please advise us of the changes no later than 48 hours prior to your arrival on the park. Failure to advise us of any changes to the guests visiting may result in the guests being refused entry to the park or asked to leave the park.

Cancellations

Should you wish to cancel your booking then contact us as soon as possible. All deposits are non-refundable. Should you wish to cancel less than 8 weeks prior to your arrival date and full payment has been received then all payments made will not be refunded, we will endeavour to re-let your holiday in this time. If we are able to re-let your holiday then we would issue a full refund of the money paid less any deposits.
Should we have to cancel your holiday due to circumstances outside of our control then in these circumstances then will would offer a full refund where possible.
If your holiday is cancelled due to circumstances that you have not disclosed to us (i.e. Restrictions in place within these terms and conditions.) then we would not offer any refund.

 When you’re on holiday

Your arrival

Upon arriving on site your must enter through the main entrance. You should have received an email confirming your arrival time with a reference number. The Haven team will validate this reference and allow you onto site, so please ensure that you have this to hand.
If you arrive outside of your allocated time slot then please ensure that you wait until your time slot before visiting the caravan since it will not be ready for your arrival. The site has a wide range of facilities available to you.
Some of the facilities may require you to purchase a separate Haven Fun Pass. These are available for purchase separately from the main reception.

The fun bits

The site features a wide range of activities, these are operated directly by Haven and we recommend booking in advance since places will fill up fast. The cost of your holiday does not include Haven Fun Passes and these must be purchased from Haven directly. Activities can be pre-booked using the Haven What’s On app. You can also visit the activities booking office however we recommend doing this as soon as possible to avoid disappointment since places on some activities fill up fast.

WIFI

WIFI is provided on park by Haven. We currently have no WIFI facilities at the caravan.

Keeping you safe

We endeavour to keep you and your party safe, to do this the Haven team may have to put restrictions in place in the park. If we are made aware of any of these restrictions then we will post updates as soon as possible.

Personal Belongings

We endeavour to ensure that all your belongings are kept as safe as possible. However, you and your party do remain responsible for all your belongings whilst visiting our caravan. Please do not leave any valuables on display in the caravan and if you are leaving your caravan then ensure that all doors and windows are locked. We cannot accept any liability for loss or damage to you or your parties’ belongings. We recommend that your holiday insurance covers these.

Filming and photography

We all love taking photos, there are however some restrictions on where you can do this. Please check Havens terms and conditions for more information.

Smoking, drugs and offensive weapons

We operate a no smoking policy anywhere within out caravan including the veranda. This also includes the use of vaporisers and e-cigarettes. This is to ensure the comfort and safety of all visitors to the park. Failure to adhere to this policy will result in a £100 fine to cover the costs to deep clean the caravan.

Illness and contagious diseases

If you or any or your party start to feel unwell then please ensure that you contact us immediately. Should we need to we may require that you cut your holiday short or place restrictions on your movement within the park. This is to ensure the health and safety of all guests on the park.

Cutting your holiday short

We hope that you have a great time whilst staying with us, however if you do need to cut your holiday short for any reason then we would not offer a refund.

Damage to accommodation

We hope that nothing goes wrong whilst your staying with us. But if the worst happens and the caravan is damaged by either yourself or a member of your party then you will be liable for the full cost of repairs including additional cleaning costs. Any damage to the caravan could result in us asking you to leave the park and your booking cancelled without refund. We reserve the right to visit the caravan for inspections having given sufficient notice. If there’s an emergency then we may need to access the caravan without notice.
All furniture and bedding must be kept inside the caravan. Only furniture provided outside must be used outside.

If you leave something behind

If you realise that you have left something behind then please contact us and we will try to locate it, however we do not accept liability if we are unable to. Should we be able to locate it then we can arrange to have it posted to you but you will have to pay postage costs.

As you leave

When you have to leave

We require you to leave our caravan by 9:30, this is to ensure we have enough time to inspect and clean the caravan ready for the next guests.

Leaving the caravan

Please ensure that you leave the caravan in a clean and tidy state. We would appreciate if all plates, cups and cutlery are washed and placed away. Any cooking utensils used have been washed and put away. All appliances have been wiped down and any food deposits removed.
Your key must be placed back into the key safe after ensuring all doors and windows are locked.

Leaving the park

Once you have left the caravan you do still have the option of using the parks facilities or visiting the beach.

Problems after you leave

Once you have left the caravan our cleaners will visit and ensure that it is ready for the next guests. Should they find any issues then we will contact you and you may be liable for additional costs.

Small Print

Holiday Contract

By paying your deposit you are entering into an agreement and agreeing to adhere to the terms and conditions set out within
You are agreeing to pay any fines imposed within these terms and conditions
You are agreeing to pay any additional costs we may impose upon you to cover any damages or additional cleaning that may be required after your stay.
All deposits are non-refundable
All outstanding balances must be paid 8 weeks prior to your arrival at the park
Any balance held in the period of 8 week prior to your arrival becomes non-refundable
We reserve the right to make changes to these terms and conditions at any time.
All activities are operated by Haven and will require a Fun Pass to be purchased.

Using your personal information

When booking with us we will take your personal information only for the purposes of your holiday. We will not share your information with any outside parties except where presented with a relevant authority warrant.

Accuracy of our information

Although we endeavour to ensure all the information we provide is correct we may however make some mistakes. If this happens we will get the mistake resolved as soon as possible.
